Do I require a Visa?
Nationals of about 170 countries and territories may visit Hong Kong without a visa and can stay for periods varying from 7 days to 180 days depending on nationality. Australian nationals whose passports have at least six months validity can enter Hong Kong for a period of up to three months without a visa. All visitors to Hong Kong must have a passport that is valid for at least one month to six months (depending on nationality) after the period of their intended stay in Hong Kong.
If you want to travel from Hong Kong to China mainland, you may need to apply for a China visa. Please ensure you organise your documentation well in advance of travel.

September is Autumn, there are pleasant breezes, plenty of sunshine and comfortable temperatures. Many people regard these as the best months of the year to visit Hong Kong. Average Temperature is around 19C – 28C. First-time visitors should be wary of the humidity.
Typhoon season: Hong Kong’s typhoon season extends from May to early November. Peak typhoon season extends from July to September when there is a 50% chance or greater of a typhoon in the month. There is a much less chance of typhoons occurring in the other months.
Danger? Hong Kong is well prepared for typhoons. There is an effective storm warning system to warn people and instruct them about what to do.

Where is the Conference venue?
The Hong Kong Academy of Medicine, Jockey Club Building, located at 99 Wong Chuk Hang Road, Hong Kong.
Where will I find the Joint RACMA & HKCCM Conference?
The registration desk will be located at the Ground Level of the building.
Trade exhibition will be located on 2 levels, Ground Level and on Level 1.
The plenary sessions would take place on Level 1, in the Run Run Shaw Hall.
Breakout sessions will take place on Ground Level.
The workshops will take place on Level 2.
How do I get to and from the airport to the conference venue/accommodation?

Taxis offer a fast and flexible way to and from Hong Kong International Airport (HKIA). Arriving passengers can pick up a taxi at the Taxi Station, which can be reached by the left-hand ramp outside the Arrivals Hall.
Taxis in Hong Kong are colour-coded according to their operating areas.
Separate rows are designated for different types of taxi:
Urban taxis (Red) serve all destinations throughout Hong Kong including the airport except Tung Chung Road and roads in south Lantau.
New Territories (N.T.) taxis (Green) serve only the New Territories and specific roads in Lantau.
Lantau taxis (Blue) serve all destinations in Lantau and the airport.

How do I gain entry into the Conference sessions?
Delegates and exhibitors will be provided with an individual name badge, which will give you access to all sessions and social events that you have registered to attend. This must be worn at all times within the conference venue. It is suggested that delegates arrive at preferred sessions promptly to ensure a seat. Once a session is full, delegates will not be granted entry.
Do I receive a Conference handbook & satchel?
All delegates will receive a conference handbook and satchel when you register at the conference. The satchel will include promotional information from our sponsors.
I have registered to attend a Facility Tour - what do I do?

How will I know if there have been any changes to the program?
In the lead-up to the Conference small updates will be made to the program. Any changes to the Conference program during the Conference will be announced during housekeeping notices each morning.
Can I photograph or record the Conference sessions?
Delegates are not permitted to use any type of camera or recording device at any of the sessions unless written permission has been obtained from the relevant speaker. A professional photographer will be at the conference, if you have any issues with being photographed, please notify the photographer or any staff present.
Is there security at the Conference?
The members of the conference organising committee accepts no liability for personal accident of loss or damage suffered by any participant, accompanying person, invited observer or any other person by whatever means. Nor do we accept liability for any equipment or software brought to the conference by delegates, speakers, sponsors or any other party. Please protect your personal property. Do not leave laptops, cameras, and other valuable items unsecured. Be conscious of individuals who appear out of place and do not wear a conference name badge. Advise any staff if this does not occur.
Registration & Social Functions
What is included in my registration?
Full Registration includes attendance at all sessions during the days of 7-8 September 2018. Full registration also includes the conference satchel, handbook, name badge, lunch, morning and afternoon refreshments and entry to the Welcome Reception & Gala Dinner.
Day Registration includes attendance at sessions on the nominated day of attendance, a conference satchel, handbook, name badge, lunch, morning and afternoon refreshments on the day of attendance. Day registration does not include tickets to the Spring Professional Development Forum, Welcome Reception, or Gala Dinner. Tickets to the social functions may be purchased separately.
Adverse weather arrangement
September is typhoon season. In an event of a typhoon below is the action plan that usually takes place and efforts will be made to notify attendees.

In the event the ASM is cancelled due to adverse weather conditions, the ASM will not be rescheduled and the registration fee will not be refunded, but the honorarium for overseas speakers will be arranged for. With regards to sponsors, negotiations will be done with individual sponsors for alternative arrangements. We would consider placing free-of-charge advertisements on the Joint RACMA & HKCCM website for a certain period or postpone the sponsorship to next year.

How do I know if I’m registered for a social function?
After registering for the Joint RACMA & HKCCM 2018 ASM you would have received a Registration Confirmation email which would list all the social functions you are registered for.
Tickets to the Welcome Reception and Conference Dinner are included in each full registration. Although social functions are inclusive, bookings are still essential. You can book your place and additional tickets via the online form.
Do I need to bring my ticket with me to the social function?
You are not required to bring your ticket with you. At the time of registration, you will be provided with a dinner sticker with your name on it. This is your “ticket” to the Conference Dinner which will need to be stuck on the seating plan near the registration desk no later than 11am on Friday, 7 September.
If you do not stick your sticker on the seating plan, it will be assumed that you will not be attending. Leishman Associates staff will be around prior to the dinner to show you to your seat allocation.
Can I bring a partner along to the social functions?
Yes, you most certainly can – additional tickets can be booked when you register online. During the Conference, bookings can be made at the registration desk, subject to availability.
Will copies of the presentations be available after the Conference?
Yes, it will be after the conference. Please note not all speakers will give their permission for their presentation to be released.
Speaker, Chairperson or Poster Presenter
I am a Chairperson, what should I do?
Chairpersons will receive an email prior to the Conference, reminding them of their responsibilities. I am a speaker, what should I do?
All presenters to report to the registration desk to collect your name badge. Speakers to proceed to the speakers’ preparation room to load your presentations onto the conference network. This must be done AT LEAST two hours before you are due to present. An audio-visual technician will be available throughout the conference. Speakers are asked to introduce themselves to their session chair during the break if possible. Speakers are also requested to assemble in the presentation room 15 minutes prior if possible to familiarise themselves with the room and the audio-visual equipment.

I am a poster presenter, what should I do?
How do I book my accommodation?
You can book your accommodation through the online registration form or by emailing Conference Secretariat via email (firstname.lastname@example.org) or phone on (+852) 2559 9973. You will be asked to provide your check-in and check-out date as well as your credit card details to secure the booking. Payment for your accommodation will not be taken until you check in or out of the Hotel. Delegates are encouraged to book in advance as availability closer to the Conference date is not guaranteed.
How do I pay for my accommodation?
When you book your accommodation your credit card details will be transferred to the hotel you have selected – please confirm this on check in with your hotel. Your credit card will not be charged until you check in or out. If the credit card you intend on using to pay for the accommodation does not belong to you, the Hotel will require an authority form to be signed.
I would like to change or cancel my accommodation booking, what do I do?
Please email Conference Secretariat via email (email@example.com) or phone on (+852) 2559 9973 to cancel or change your accommodation prior to the Conference. If you need to cancel your accommodation booking within 30 days of your arrival date any cancellation fees will be subject to the hotel cancellation policy. Therefore, no accommodation refund can be guaranteed within 30 business days of the Conference. If you alter your accommodation booking after you have checked in, please deal directly with the hotel. If you arrive 24 hours later than your indicated arrival day, charges will apply.
Cancellation and Disclaimer
I need to cancel my registration, what do I do?
Cancellations must be received in writing –email to RACMA. Cancellations will not be deemed to be received until you have written confirmation. If you have not received acknowledgement within two business days, please contact RACMA on +61 3 9824 4699.
Cancellation with more than 5 working days’ notice will incur a cancellation fee equivalent to 50% of the total program or contracted fee.
Cancellation with less than 5 working days’ notice will incur a cancellation fee equivalent to 100% of the total program or contracted fee.
In the event of cancellation by RACMA or HKCCM, participants will be entitled to a full refund.
RACMA & HKCCM reserve the right to amend or alter any advertised details relating to dates, program and speakers if necessary, without notice, as a result of circumstances beyond their control. All attempts have been made to keep any changes to an absolute minimum.
